    Position Summary

    Learning Program Coordinator - Senior Associate


    Serves as the program coordinator for learning events supported by Crowe University.


    Consults with key learning stakeholders on program decisions, deliverables and timelines. Collaborates with team members to ensure the development and delivery of internal programs using a variety of learning delivery formats. Manages and coordinates event planning responsibilities including the identification of appropriate facilities, resource needs and special requests. Works closely with curriculum development and instructional design teams to understand program objectives and needs to provide for logistical and event requirements. Works with the compliance team to ensure NASBA documentation is completed. This role interacts heavily with others across the firm and outside the firm employing clear and effective written and oral communication with stakeholders, learning team members, instructors, participants, and vendors.


    Essential Functions:

    • Process all logistics, course and continuing professional education process and documentation including attendance verification and credit processing. This may include writing learning objectives and course descriptions with some design consultation.
    • Manage all aspects of event planning, including facility identification, reservations/contracting, classroom setup, facility/room block needs, food and beverage needs, and other program requirements.
    • Coordinate with travel department on transportation and lodging requirements.
    • Prepare program budget and reconcile actual expenses.
    • Approve and process program expenses.
    • Administer and support technology-enabled programs (e.g. web conferencing).
    • Provide guidance to facilitators in proper use of technologies and instructional effectiveness.
    • Collaborate with curriculum development and instructional design team to define print and electronic material development needs and responsibilities.
    • Purchase materials and they are distributed at program site.
    • Define and communicate material production needs with production functions.
    • Communicate and manage participant requirements and/or prerequisites.
    • Set-up and manage registration systems and processes.
    • Develop and manage communication processes with stakeholders.
    • Perform site inspections and classroom assistance.
    • Arrange for on-site assistance and coordination if necessary.
    • May review course evaluation summary reports and provide recommendations.
    • May present or facilitate certain topics at key events related to role responsibilities.


    Skill sets required:

    • Technology proficiency in producing virtual learning programs {particularly WebEx and Adobe Connect, and other similar technologies. ON24 a plus).
    • Technology proficiency with learning management and registration systems.
    • Demonstrates well-developed written and oral communication skills.
    • Possesses excellent listening and questioning skills.
    • Strong customer service orientation and displaying a positive attitude.
    • Focuses on delivering quality products and services.
    • Excellent project and organizational management skills required.
    • Able to prioritize and manage multiple tasks concurrently.
    • Proficient Microsoft Word, Excel and PowerPoint.
    • Self-motivated and ability to work both independently and collaboratively.
    • Possesses strong decision-making and problem solving skills, as well as the ability to negotiate with both internal clients and external vendors.
    • Demonstrates strong analytical skills, creativity, and ability to work well under pressure.
    • Operates with a continuous improvement mindset with respect to process and policy.

    Minimum qualifications:

    • Bachelor's degree with a minimum of 3 years of event planning experience.
    • Experience in a professional services or a matrixed organizational structure is a plus.
